Decatur County Seeks Bids For RHS Softball Facility HVAC

The Decatur County Board of Education in Decaturville opened a formal procurement process on November 13, 2025 seeking contractors to install HVAC equipment at the RHS Girls' Softball Facility. Sealed bids will be accepted until 9:00 a.m. on Wednesday, December 3, 2025, at which time bids will be publicly opened and read aloud in the office of the Director of Schools. The work must be completed by January 15, 2026.

The bid package specifies two primary HVAC systems. A 3 Ton, 4 head Mini split heat and cool system is to service the coach's office, restroom, locker room, and weight room. A 5 Ton air conditioning only unit is requested to cool the batting cage area while retaining the existing gas heating system. The project also requires an upgrade to the facility electrical service to support the new equipment.

Bidders are required to schedule an onsite inspection with Keith Dickson, Facilities Supervisor, prior to submitting proposals. Bids must be presented in sealed envelopes plainly marked with the notation HVAC Softball Project and must include the name of the person or firm submitting the bid, contractor license, and general liability insurance. The board will accept bids only from responsible firms or persons capable of completing the work.

Institutional details in the invitation make clear that the board intends to award the contract to the low bidder, while also reserving the express right to accept any bid or reject any and or all bids and to waive any informalities. That combination of language establishes both a preference for cost minimization and the board's discretion to address irregularities or other procurement considerations.
